Announcement on Registration Deadline

Since many people encountered payment problems before the deadline, the local organizing committee decided to extend the payment deadline to June 23th, 2021. Problems associated with payment will be handled as soon as possible.

To better arrange the congress and adapt to the hybrid mode, the LOC has decided to set June 20th, 2021 (Beijing Time) to be the last day for registration and payment. From then on, no registration and payment could be made, and no participation mode shall be changed. Attending code will be gradually issued afterwards for the participants whose payment has been received. Please get prepared in advance. Thank you very much for cooperation.



Announcement on Visa Application and Quarantine Policy

As the congress is approaching, some participants have started to plan the trip to Shanghai. We have received some questions about visa application and quarantine. Here is the most updated information that might be useful to the preparation. 

As for the visa application, it depends on the Chinese Embassy/Consulate in your country whether issuing a visa to individual to enter China. Unfortunately, LOC does not have any special channels to interfere or speed up visa applications. 

Based on the current situation of the pandemic, the most updated prevention and control measure of Shanghai is as follows: Starting from May 17th, 2021, all international travelers entering Shanghai need to undertake a 14-day quarantine upon arrival plus a 7-day health monitoring within the community. Due to the change of the pandemic, the prevention and control measure might be changed accordingly. If there are any updates, we will announcement it on the official website as soon as possible. 

The cost of accommodation during the quarantine and health monitoring will be borne by the participants, no matter if received solidarity fund or not.

Registration, Invitation Letter, and Payment

We make the following adjustments on Registration and Payment in response with the postponement of ICME14.

Registration:

Online registration system reg.icme14.org is available till June 23th, 2021.

Payment:

§   For physical attendance:

    Ø   Fully paid before (inclusive) March 31st, 2021, RMB 3 500;

    Ø   Fully paid between April 1st and May 31st, 2021, RMB 3 800;

    Ø   Paid on and after June 1st, 2021, RMB 4 000;

    Ø   Accompanying person’s registration, RMB 1 000 (Before June 23th, 2021)

§   For online attendance:

    Ø   RMB 2 000 (Before June 23th, 2021)

§   Extra charge for Early Career Researcher Day:

    Ø   RMB 350 for physical attendance.    

    Ø   RMB 200 for online attendance.

§   Attending code for online participants will be issued upon receipt of the registration fee. Participants need to pay for the fee earlier, leaving enough time for banks to process the remittance.

§   Attending code can be used on different devices but not simultaneously. 

§   Participants who resigned from the congress or turn from physical attendance to online attendance will be refunded the difference of the registration fee. 

§   The local organizer will not be responsible for paying the transfer charge by the banks in their own countries. However, paying the receiving charge to Shanghai local banks is the duty of the local organizer.

For participants who have paid the registration fee:

      We strongly recommend you keep the payment in your ICME-14 account and attend ICME-14 in 2021. Your registration fee has been automatically transferred to requisite for attending ICME-14 in 2021. Asking for refund at present and repay again in the future might cost potential losses due to currency exchange and the commission from both banks (or credit card companies).

      If you are indeed unable to attend in 2021, you could apply for refund. The application should be sent to service@icme14.org before June 30th 2020. The process of refund could last for two months since then.

To start your registration, type in your valid e-mail account as username, set your password, fill in your personal information, make choice of the TSGs you are going to associate with, and submit your contributions. Immediate payment is not required. However, your registration will not be considered complete and you will not be accepted to join activities of the Congress until your payment is successfully received by the organizer. When your registration is complete, a Confirmation of Registration will be sent to your default e-mail account (that is e-mail account used as your username). If you fill in all required information and submit your contribution, but you prefer to pay later, you will receive a Knowledge of Registration instead.

The participants who are already involved in the preparation process of the Congress will have pre-entered usernames (together with some personal information). These participants include but not limited to: IPC and LOC members, plenary and invited lecturers, team members of the plenary panels and survey teams, members of the TSG organizing teams. These participants will receive an “invitation for registration” email before June 10th sent from reg@icme14.org to the mailbox they used to contact the organizer. What these participants have to do is to click the link in this email which will lead to the existed account, then they can proceed to finish necessary information input.

An invitation letter will be sent out on request to participants if needed for VISA and/or financial support reasons, no matter whether the participants have paid the registration fee or not. The invitation letter will indicate the role the participant will play.

We strongly encourage you to make use of this offer, but please approach to ICME-14 organizer early enough.

The regular registration fee is RMB 4 000. Different rates of discount are set for early payers. The details are as follows:

Fully paid between Nov. 1st,   2019 and March 31st, 2020

RMB 3 500

Fully paid between April 1st and May 31st, 2020

RMB 3 800

Paid on and after June 1st,   2020

RMB 4 000

Accompanying person’s registration, any time

RMB 1 000

Registration fee of Early Career Researcher Day is not included in the registration fee. Participants of Early Career Researcher Day will be charged an additional fee of RMB 350.

All payment can be made online via credit card or by bank transfer. Union-pay, Alipay and Wechat pay are available as well. Checks are not acceptable.

Online payment system will be running from November 1st, 2019 to June 20th, 2020. On-spot payment will be available on July 12th, 2020.

Cancellation of registration can be done at any time in case the participant cannot attend the Congress for some reason, but refund requirement must be made before June 20th, 2020. Due to administrative reasons, all refunds will be processed after the Congress, with a cancellation penalty at 20% of the paid amount.



[1] Shanghai public transportation card can be used for riding subways and buses, as well as for taking taxis. Refill service is valid at some subway stations.
